Privacy Policy

1. Scope and accountability

This Privacy Policy explains how Geolapis Inc. (“Geolapis”, “we”, “us” or “our”) handles personal information in Geolapis Property Intelligence. We aim to handle personal information in accordance with applicable privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies.

2. Information we collect

  • Account information: name, email address, password hash, account status, login timestamps, and legal-acceptance records.
  • Property information: addresses, coordinates, property characteristics, asking-price information, builder/project details, lifecycle information, and user-supplied source links.
  • Buyer and financial-planning inputs: budgets, housing-cost assumptions, available cash, priorities, and other planning inputs you choose to provide.
  • Evidence and analysis records: environmental-screening evidence, condition evidence you enter, analysis snapshots, Passport versions, confidence information, provenance, and evidence-change history.
  • Payment and entitlement records: product, amount, currency, payment-provider references, payment status, entitlement and access dates. Payment-card details are handled by the payment provider rather than stored by Property Intelligence.
  • Security and technical information: IP-derived rate-limit buckets, browser/network metadata, application logs, error information, and session/security data needed to operate and protect the Service.
  • Support communications: information you provide when contacting us.

3. How we use information

We use information to create and authenticate accounts; save property workspaces; calculate and explain user-requested planning outputs; preserve immutable Passport and evidence history; provide environmental and condition-evidence workflows; process paid access; generate PDFs; provide support; prevent abuse and fraud; diagnose errors; secure the Service; and meet legal obligations.

We do not use a missing environmental or condition record as proof that a hazard or issue is absent.

4. Service providers and disclosures

We may use service providers for cloud hosting and databases, email delivery, payment processing, mapping/geocoding, and environmental or public-data retrieval. We disclose only the information reasonably needed for the requested feature or for operating and securing the Service.

For example, an address or coordinate may be sent to a configured geocoding or environmental-data provider when you request a location or environmental screen. A payment provider may receive transaction and account-reference information when you start checkout.

We may also disclose information where required by law, to protect rights or security, or as part of a corporate transaction subject to appropriate safeguards.

5. Cross-border processing

Our service providers may process information outside your province or country. Information processed in another jurisdiction may be subject to lawful access by authorities in that jurisdiction. We use contractual, technical, and organizational measures appropriate to the service and sensitivity of the information.

6. Retention

We retain account, property, analysis, evidence, Passport, payment, entitlement, security, and support records for as long as reasonably needed to provide the Service, preserve product integrity, resolve disputes, prevent fraud, and comply with legal or accounting obligations.

Password-reset tokens expire after 30 minutes, are stored only as one-way hashes, and are invalidated after use or replacement. We may retain transaction or security records longer where required by law or reasonably necessary for audit and fraud prevention.

7. Security

We use safeguards designed for the sensitivity of the information, including encrypted transport, protected password hashing, access controls, rate limiting, environment and access separation, server-side payment verification, and restricted administrative access. No internet service can guarantee absolute security.

8. Browser storage and sessions

Property Intelligence uses browser/session storage technologies necessary for sign-in, security, application preferences, offline application-shell behaviour, and core functionality. These technologies are not intended to create a third-party advertising profile.

9. Your privacy choices and rights

Subject to applicable law, you may ask about personal information we hold about you, request access or correction, withdraw consent where consent is the legal basis and withdrawal is permitted, or request deletion of information that we are not required to retain.

10. Children

Property Intelligence is designed for property decision-making and is not directed to children. Do not provide a child’s personal information unless you have authority to do so and it is necessary for a legitimate use of the Service.

11. Changes to this Policy

We may update this Policy as the Service or legal requirements change. The effective date and version above identify the policy associated with new account acceptance. Material changes may require renewed notice or consent where required.
